Communication records
We may keep records of emails, calls, messages, notes, and outreach outcomes so we can manage listing accuracy, follow up on enquiries, and maintain an audit trail.
3. How we collect information
We may collect information:
-
directly from you when you submit a form, send an email, call us, or request a listing change;
-
from publicly available sources, such as business websites, public directories, maps, social media profiles, or search results;
-
from listed businesses when they confirm or update their details;
-
from customers who submit quote requests;
-
from website analytics and technical tools.
4. Why we use information
We use information to:
-
operate and improve the Stitch & Sole directory;
-
create, update, correct, or remove business listings;
-
help customers find relevant repairers;
-
forward customer quote requests to relevant repairers;
-
respond to enquiries and support requests;
-
verify or confirm listing details;
-
prevent spam, fraud, misuse, or inaccurate submissions;
-
understand whether the directory is useful;
-
maintain business records;
-
comply with legal obligations.
5. Sharing information
We may share information where needed to operate the directory.
For example:
-
If a customer submits a quote request, this information is automatically forwarded to one or more relevant repairers — including the customer’s name, contact details, location, repair description, and photos.
-
If a business asks us to update a listing, we may publish the updated business details on the website.
-
We use service providers to operate the directory, including website hosting and infrastructure (Elestio, hosted on servers in Sydney, Australia), a database and workflow platform for managing listings and quote leads (Notion), and our domain registrar and transactional email provider (VentraIP). We may use additional service providers for forms, analytics, or payments as the directory grows.
-
We may share information if required by law, to enforce our terms, or to protect people, businesses, or the website.
We do not sell personal information.
6. Public business information
The directory may publish business information such as business name, address, phone number, website, opening hours, service categories, and public descriptions.
If you own or manage a listed business and believe information is incorrect, outdated, or should be removed, contact us.
7. Quote request photos and job details
Customers may submit photos and descriptions of items they want repaired.
Customers should avoid including unnecessary personal information in photos or descriptions.
We automatically forward submitted photos and job details to relevant repairers so they can assess the enquiry and respond. Once a quote request has been forwarded, we delete or de-identify the photos and job details where practical, unless we need to keep them for a legitimate purpose such as resolving a dispute, troubleshooting a delivery issue, or complying with the law.
8. Marketing communications
We may contact listed businesses about their listing, corrections, customer enquiries, or optional directory features.
If we send marketing emails, we will identify the sender and include a way to unsubscribe where required.
We will not charge a business for a free listing unless the business has clearly agreed to a paid product or service.
9. Storage and security
We take reasonable steps to protect personal information from misuse, interference, loss, unauthorised access, modification, or disclosure.
No online service can be guaranteed to be completely secure.
Information may be stored in systems used to operate the directory, such as website hosting, forms, email, databases, analytics, or workflow tools.
10. Overseas services
Our website hosting infrastructure (Elestio) runs on servers located in Sydney, Australia. Our database and workflow platform (Notion) may store and process information on servers located outside Australia, including in the United States. Where this occurs, we take reasonable steps to ensure appropriate safeguards are in place. We will update this section if our overseas service providers change.
11. Retention
We keep information for as long as needed to operate the directory, manage listings, process enquiries, maintain records, resolve disputes, and comply with legal obligations.
For customer quote requests specifically, we aim to delete or de-identify photos and job details once they have been forwarded to a repairer and the request is complete, unless we need to keep them for a legitimate purpose such as resolving a dispute or complying with the law.
We may delete or de-identify other information when it is no longer needed.
12. Access, correction, and removal requests
You can contact us to ask for access to personal information we hold about you, to correct information, or to request removal of information.
If you own or manage a listed business, you can ask us to update or remove your listing.
We may need to verify your identity or authority before acting on a request.
13. Complaints
If you have a privacy concern, contact us first so we can try to resolve it.
If you are not satisfied, you may be able to contact the Office of the Australian Information Commissioner.
14. Changes to this policy
We may update this Privacy Policy from time to time, including as our services, service providers, or paid features change — for example, we may seek solicitor review if we introduce paid listings or start collecting more sensitive information at scale.
The current version will be published on this page with an effective date.
